Front Desk Receptionist 

Our growing physical therapy practice needs a Front Desk Receptionist who can share the administrative duties involved with coordinating patient and physical therapist schedules as well as assisting in insurance verification, billing, marketing, file management and office cleanliness and organization. We're looking for a professional who believes that patients should be treated as people rather than numbers in a file, and who understands the value of compassionate service. The job includes significant amounts of multi-tasking, but the ideal candidate will know when to slow down, look patients in the eye and provide personalized service.  

Detailed Job Description: 

  • Answer phones and either direct the caller to the appropriate party or handle the caller's needs yourself 

  • Greet patients upon arrival, sign them in and obtain insurance information and any other necessary data 

  • Provide patients with intake and new patient forms as well as copies of our office policies and legally required documents  

  • Process patient and insurer payments 

  • Schedule appointments for new and recurring patients based on Physical Therapist’s availability 

  • Maintain patient records and files, and manage incoming paperwork including referrals and insurance benefit verifications 

  • Call patients when phone reminders are requested or to schedule patients off wait-list.  Respond to web-based inquiries as appropriate 

  • Provide patients with support and guidance as needed 

  • Assist with cleaning treatment rooms and exercise equipment immediately following patient appointments and assist with laundry to keep clean linens readily available for patient appointments 

  • Assist with inventory check and ordering office supplies and equipment.   

  • Assist with insurance billing tasks including recording eligibility of benefits and recording insurance payments.  

  • Assist with organization and file maintenance for insurance credentialing and contracting including Facility and Provider Profile Updates, Contracting Re-attestations, and certifications.   

  • Assist with marketing and outreach programs for Mission Peak PT including seeking community outreach opportunities, provider outreach, website management, and social media marketing.   

 

Qualifications and Skills 

  • High school diploma/GED required (Associate degree preferred) 

  • 1+ years of experience in administration assistant/customer service role 

  • Ability to multi-task and prioritize tasks based on importance 

  • Excellent communication, problem solving, and customer-service skills 

  • Familiarity and experience with Microsoft Word, Excel, Adobe Acrobat as well as fax and phone technology.  

  • Ability to understand and follow all guidelines, including HIPAA, state, and insurance requirements for patient confidentiality and privacy.   

  • Experience with social media platforms Instagram and Facebook for publishing posts and responding to business inquiries.   

  • Per Federal and State Mandates for all employees in Health care settings, candidate must be fully vaccinated for COVID-19 by employment start date.
